North Texas Giving Day: Nonprofit Tech Cleanout

North Texas Giving Day culminates on Thursday, September 17, 2026. The Communities Foundation of Texas describes it as a community-wide giving initiative supporting thousands of nonprofits across North Texas.

That public attention makes September a useful moment for a nonprofit to look at its own technology lifecycle—not as a publicity stunt, but as basic stewardship. Donated laptops, old servers, replaced firewalls, and forgotten monitors all represent donor-funded resources that deserve an intentional next step.

Start by finding what the organization actually owns

Nonprofit technology tends to arrive through purchases, grants, board-member donations, employee hand-me-downs, and program-specific funding. The result can be an asset list that does not match the storage closet.

Walk the office and record:

• laptops assigned to former staff;
• desktop PCs replaced during a cloud migration;
• switches and wireless equipment from an office move;
• servers that once ran accounting, donor, or case-management systems;
• backup drives and removable media;
• monitors, docks, chargers, and UPS units;
• printers or copiers that may contain storage.

A few wide photos plus an approximate count are enough to start a pickup review. A perfect spreadsheet can follow if internal policy requires it.

Decide what can be reused internally

Reuse inside the organization usually beats premature recycling. A functional laptop might serve a volunteer check-in desk, a training program, or a temporary worker.

But internal reuse should still include:

• removing the former user’s account and credentials;
• checking device-management enrollment;
• updating supported software;
• confirming the battery and hardware are safe;
• documenting the new custodian.

Do not pass a device to a new program simply because it powers on.

Handle donor, client, student, and employee data

Nonprofits may hold payment records, donor histories, background checks, health information, school data, or client case files. Those records do not become harmless when the hardware is retired.

Identify storage media and choose a documented method that fits the device and the organization’s obligations. Equipment without a practical reuse path should move to responsible parts or material recovery rather than sitting for years.

Municipal electronics events are often resident-only and may reject commercial or organizational quantities. A nonprofit employee should not have to load company equipment into a personal car and hope a city event accepts it.
